Prepare Rightscon presentation

This is the email I got from RightsCon:
Dear Maarten,
RightsCon is coming online this year from July 27-31, 2020, and we want you to be a part of it!
We are pleased to inform you that your Tech Demo ID #9296 – “Having a private cloud made easy with OpenAppStack” has been accepted into the public program for RightsCon Online. Congratulations!
A Tech Demo is a brief, pre-recorded presentation on a specific product, tool, or technology. Unlike other session formats, Tech Demos will be recorded in advance and uploaded into the program schedule for participants to view at any point during the summit.
This email details what information we will need from you, now that your session is accepted into the program, and answers initial questions you may have about RightsCon Online.
An update form is now available for your accepted proposal in the Program Platform. Please complete the update form by July 1, 2020 to confirm your spot in the RightsCon program.
The form allows you to finalize the title and description of your session, adjust speaker information, flag security and/or sensitivity concerns, and more. This information is absolutely critical to building the program and ensuring the success of your session, and we urge you to fill it out as soon as you can.
When will RightsCon Online take place?
Access Now will host RightsCon Online from Monday, July 27 to Friday, July 31, 2020. You can read our full announcement on our blog. The program will span one week, and sessions will take place across a number of time zones, to account for the global nature of our community.
We are working with a well-respected online learning platform, TechChange, to ensure that the production and technical aspects of the summit remain at a high standard, and we are thinking critically about ways to build a safe, secure, and accessible convening space online.
What will hosting a Tech Demo entail?
For RightsCon Online, Tech Demos will be pre-recorded, 8-10 minute presentations. We, with support from our partners at TechChange, will offer guidance and training to help you successfully deliver and record your session, and we will upload the final product for viewing as soon as the program opens.
Once your session is scheduled into the program, RightsCon participants from countries all over the world will be able to view and engage with your demo, and learn about the issues that drive your work. This is an ideal opportunity to reach new audiences, share learnings, and network across our community.
As a reminder, your Tech Demo should include no more than two speakers. Fewer speakers will allow you to make the most of the presentation time and dive deeper into the content. You should designate your speakers in the update form.
Lastly, while your Tech Demo will be pre-recorded, you or a speaker on your session will have the option to engage in a live question and answer (Q&A) period during the summit week. If you would like to pursue this option, please select a time zone in the update form when you or the speaker would be available for a live Q&A. We will do our best to accommodate your preferences as we schedule the program.
When will I need to provide the recorded version of my session?
You should prepare to submit the recording by Friday, July 10. In the lead-up to this deadline, our team will provide resources and training. We will be unable to take submissions after the deadline passes.
Please note that the session title, description, and speaker information provided in the update form will be the final text that appears in the public program. We will not have the capacity to make changes or edits to this content after you submit the recording of your session on July 10.
What support will Access Now provide?
The RightsCon team and Access Now staff will continue to act in oversight and advisory roles as we build public and private programming. After the update form closes, we will provide you with a Session Organizer’s Guide containing information about the platform and technical aspects, and training to successfully produce a pre-recorded session. As with an in-person summit, our team is available to offer speaker recommendations, if needed, and provide you with the tools to achieve session excellence.
How are you thinking about safety and security?
The safety and security of participants remains a top priority for our team. We’re reviewing plans, such as our Code of Conduct, to ensure we can effectively and appropriately support participants as we would for an in-person summit. We understand that online sessions may pose different or additional challenges for members of our community who are already at risk. In the update form, you will have the opportunity to detail any concerns with bringing your session online and in the coming weeks, our team will provide updates to how we’re thinking about and approaching safety and security for RightsCon Online.
How are you creating an inclusive and diverse convening space?
Many of our guiding principles and practices haven’t changed. We will continue to assess sessions to ensure a diverse range of perspectives and experiences are represented, and work with organizers to refine the content and coverage of their session.
We are committed to ensuring RightsCon Online is inclusive and accessible, including by offering programming across time zones, as well as providing multilingual and low-bandwidth alternatives for engaging. Lightning Talks and Tech Demos are among the options that are available to participants outside of live programming.
What about registration and ticketing?
There will be no registration fees for RightsCon session organizers, speakers, or participants. You will receive an invitation to register on the platform before the program schedule launches.

There’s lots of information still to come, and we’ll be communicating with you every step of the way. Over the next month, in addition to the resources outlined above for session organizers, we’ll publish details about our strategy for creating a navigable online program.
